If you contact our customer services or sales team; or

To improve our services for you and to tailor our products and services to your requirements;
To get to know our customers better as well as the type of customer that uses our services, including using third party data matching agencies or data profiling to help us identify similar customers to you;
To identify appropriate partners whose offers we might obtain for you as a Canvas Holidays customer; and
To contact you about Canvas Holidays products and services we think you might be interested in, including those of our partners whose offers we have identified.
We may collect more or less Information from you depending on which source we collect it from and which services you are using. We also passively collect details through cookies, log files and other similar technologies. Canvas Holidays is committed to ensuring that the privacy of your information is protected always. This privacy policy explains how we collect information about you, how we use the information we collect and how you can instruct us, if you prefer to limit the use of your information and procedures that we have in place to safeguard the privacy of your information. It also includes procedures that we have in place to safeguard the privacy of your information. We are registered with the Information Commissioner's Office under registration number Z173819X.
By using our services (including booking a holiday, registering on our websites or downloading any of our apps) you acknowledge that we can collect and use your information as described in this Policy. Protecting your privacy is extremely important to us and we aim to be as clear as possible about how your information is used. If you have any questions about this, or, where we are processing your data on the basis of your consent and you wish to withdraw that consent at any time, contact us using the details in the section: Data Protection and Your Privacy.
Please read this Privacy Policy carefully before submitting any of your information to us. Some of the ways we use your information are necessary for us to provide our services to you, and others will only be used with your consent. When we collect personal data, we will make it clear where the use of your information is mandatory and where it can be given voluntarily.

If we change our Privacy Policy and/or any procedures that involve the information that you have provided to us, we will post those changes here. This will ensure you are aware of current information collection methods, uses for that data as well as under what circumstances we may disclose it. Your continued use of our services (including our websites and apps) after this Privacy Policy has been amended shall be deemed to be your continued acceptance of the terms and conditions of this Policy, as amended. We encourage you to bookmark this page and review this Privacy Policy at regular intervals.
Users of our Services
Our online bookings service and the online functions of our websites are only intended for users aged 13 years and over, so please do not use them if you are under 13 years old. As part of the booking process, we will ask for the age and/or date of birth of any persons under 18 years of age within the party. This information is collected so that we can ensure that access to age restricted services (i.e. kids’ clubs) are appropriately adhered to. This information is not used for any other purpose.
By using our websites (which includes our mobile site and any apps) and by providing us with your information, you acknowledge that we may collect and use your information in accordance with this Privacy Policy. We will use personal data about other individuals where you have provided their personal data (e.g. people on your booking) to enable us to provide our services to you. By providing their personal data, you acknowledge that those persons have agreed, and you are permitted to provide their personal data to us, and where applicable, they understand how we may use their personal data.
Data Protection and Your Privacy
Data Security: While the nature of the Internet is such that we cannot guarantee the security of the information you transmit to us via the Internet, we follow strict security procedures in the collection, storage and disclosure of your information, to prevent unauthorised or unlawful access or any loss of your information. Our security procedures mean that we may occasionally request proof of identity from you before we can discuss your account details or other queries.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share a password with anyone and (where you have chosen a password) to create a strong password that cannot be easily identified.
Canvas Holidays and all 3rd parties where your information is shared will take full responsibility for ensuring that the most appropriate security measures are in place to protect your information.
We limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know and have access to your information. They will only process your personal data on our instructions and subject to a duty of confidentiality. We have put in place procedures to deal with any suspected personal data breach, and we will notify you and any applicable supervisory authority of a breach where we are legally required to do so. If we consider that the breach is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner's Office without undue delay, and where feasible, within 72 hours of becoming aware of such breach.
Accuracy: We will keep the personal data we store about you accurate and up to date. We will take every reasonable step we can to erase or rectify inaccurate data without delay. Please tell us if your personal details change or if you become aware of any inaccuracies in the personal data, we hold about you or anyone else. We will contact you if we become aware of any event which is likely to result in a change to your personal data.
Marketing: Where you have given Canvas Holidays your consent, Canvas Holidays will use your information for limited and specific marketing purposes, including to contact you from time to time regarding offers, news and competitions that we think you might be interested in.
Data Storage: Canvas Holidays will store and use your information for a set period. We will only retain your personal data for as long as is necessary to fulfil the purposes for which we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements. To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.
We will cease to use your information for marketing purposes 10 years from the point of last interaction (e.g. last brochure order or last email activity etc.,) or from the point you request Canvas Holidays to stop using your information for marketing purposes, whichever is sooner. At this point, your information is then minimised and only used for analysis and to ensure that we no longer send you information for marketing purposes.
Data Profiling: Data profiling is used to continually improve the quality of Canvas Holidays products, services, communications etc., Canvas Holidays will use your information to collate statistics or informative summaries about topics such as (but not limited to) customer behaviours, booking patterns and trends. Canvas Holidays may make automated decisions based on any findings, for example sending you marketing emails with content related to a previous holiday you have booked or that other customers similar to you have booked. You will not be subject to decisions that will have a significant impact on you based solely on automated decision-making, unless we have a lawful basis for doing so and we have notified you.
You have the right to object, at any time, to the processing of your personal data which is necessary for the purposes of the legitimate interests pursued by us or a third party, including where we undertake any form of automated processing of your personal data (including data profiling). If you object to the processing, we must no longer process that personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or that the processing is required for the establishment, exercise or defence of legal claims.

This will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain things to you and/or our website, apps or mobile site may not work as effectively.

Right of access to your personal data
You have a right of access to your personal data and you will not have to pay a fee to do so. However, we may charge a reasonable fee if your request is clearly unfounded or excessive (particularly where requests are repetitive). Alternatively, we may refuse to comply with your request in such circumstances.
We may need to request specific information from you in order to help us confirm your identity and ensure your right to access your personal data. This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask for further information in relation to your request.
Please note that we try to respond to all legitimate requests within one (1) calendar month. If this is not possible because the following month is shorter and there is no corresponding calendar date, the date for response is the last day of the following month. If the corresponding date falls on a weekend or a public holiday, we have until the next working day to respond. For example, if we received your request on Thursday 3 September 2020, we would have had until Monday 5 October 2020 to respond, as 3 October 2020 fell on a Saturday. Occasionally, it may take us longer than a month if your request is particularly complex or if you have made a number of requests. In this case, we will notify you and keep you updated.

The Right to Lodge a Complaint: You are always in control of your information and Canvas Holidays will always strive to achieve the highest standards in how it collects, used and shares your information. If you feel that Canvas Holidays has not handled your information as set out in this Privacy Policy or in other related statements, you have a right to complain to the Information Commissioners Office (ICO). If you contact us or have an enquiry, we will keep a record of this which may include some of your information depending on how you contacted us.
We may collect more or less Information from you depending on which source we collect it from and which services you are using. We also passively collect details through cookies, log files and other similar technologies. We may also collect data about you from other sources, including companies that supply information and retail partners. We may also obtain information from your insurance provider if this is required in an emergency.
We use the information you provide us:

We will also use these details to send you a follow-up email after your holiday, to check that you were satisfied with your holiday
On what basis do we process your personal data?
We will only process your personal data if one of the following processing conditions applies:
(a) Consent: if you have given your consent to us processing your personal data for specific purposes (e.g. if you consent to us processing your personal data for marketing purposes);
(b) Necessary for the performance of a contract with us: if we need to process your personal data in order to perform a contract we have with you (e.g. to fulfil your holiday booking), or to take steps, at your request, prior to entering into a contract with you (e.g. if you ask us to provide you with a quote for a holiday with us);
(c) Necessary to comply with a legal obligation: if we are legally obliged to process your personal data (e.g. if we are required to disclose certain personal data to a regulatory authority, such as a court or to the police);
(d) Necessary to protect your vital interests (or those of a third party): if it is necessary to process your personal to protect you or a third party (e.g. if we are required to provide your personal details to an emergency service in the case of an accident);
(e) Necessary for a task carried out in the public interest: e.g. it might be necessary to process information about you to ensure public safety such as in the time of a pandemic.
(f) Necessary for our (or a third party's) legitimate interests: if it is in our (or a third party's) legitimate interests to process your personal data and these interests do not override your interests or rights (e.g. if we undertake analysis of your booking history).
We might also need to process special category data about you (such as details relating to your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, or information about your health and genetic and biometric data). Where we do so we must have an additional processing condition. These include:

Collection of information through your use of our websites, Apps and Booking Services
As you use our websites or apps, information may be passively collected by us through our use of cookies, web beacons, log files and other technologies. This allows us to deliver more helpful information, services, tools and advertisements. Note that if you decline our cookies or ask for notification each time a cookie is being sent, this may affect your ease of use of our websites.
In particular, we may collect:
details of your visits to our websites (including, but not limited to, traffic data, location and time data (where you’ve agreed to this), weblogs and other communication data) and the pages that you access.
information about your computer, including where available your IP address, operating system and browser type. This is statistical data about our users' browsing actions and patterns, and does not identify an individual.

use essential features such as our online booking system.
ensure that content from our websites is presented in the most effective manner for you and for your computer.

The Information we store within cookies is encoded and restricted so only we (and our trusted third parties) can access this Information.
Sharing Information with 3rd Parties
We may need to pass some of this information on to 3rd parties for example, suppliers of your travel and holiday arrangements such as airlines, hotels, transport companies, postal companies, etc. who will send you booking related communications, typically by post, email or text. The following list details where Canvas Holidays shares your information. We can provide a full list of the individual companies on request.
Our 3rd parties include:
Travel Partners: if your booking includes a ferry crossing, flight, hotel, car hire etc, then your personal information will be shared with the relevant travel partner on your booking, for example Eurotunnel or P&O Ferries.
Payment Partners: your information is shared to process payments for you holiday. Our payment partner uses internet standard encryption technology, Secure Socket Layer (SSL) which encodes your credit and debit card details and booking confirmation information before it is sent.
Marketing Database Partners: your information is shared with our marketing database partners to facilitate holiday communications such as pre-departure emails as well as marketing communications (if you have consented to this) as well as managing email suppression lists.
Documentation Partners: your information is shared with a document provider to produce your holiday documentation, for example your parc leaflets and accommodation vouchers as well as to fulfil direct marketing campaigns, for example a leaflet to inform you of upcoming new destinations (where you have consented to receive such marketing).
Feedback Partners: your information is shared with a feedback partner to deliver surveys that enable you to review and publish feedback about your holiday with Canvas Holidays
Postal Partners: your information is shared with a postal partner to fulfil brochure campaigns (where you have consented to receive brochures).
Promotional Agencies: if your booking is a promotional booking (e.g. Daily Mail, NHS) then your personal information will be shared with that agency.
Technical Infrastructure: your information may be stored on 3rd party hardware, for example a provider of server space used in day-to-day reservations systems management, or a website / marketing analytics company for analysis, or webchat service provision.
Where a duty exists: If we are under a duty to disclose or share your personal information in order to comply with any legal obligation and/or in order to enforce or apply any other agreements between you and us (for example, debt collection agencies or fraud prevention). We may also need to share your personal data with third parties if this is necessary to protect our rights, property, or the safety of our customers, suppliers, or employees.
Legal Requirements: Where we are obliged to, or permitted to do so, by law, court order, search warrant or similar presented to Canvas Holidays by any law enforcement or government officer.
Our 3rd party providers are all based within the United Kingdom or European Union except for our provider of webchat and analytics services who will store your information in the United Kingdom, European Union and the United States of America. Whenever we transfer your personal data out of the United Kingdom or European Economic Area, we will ensure that a similar degree of protection is afforded to it by ensuring that at least one of the following safeguards is implemented:
your personal data is transferred to countries that have been deemed to provide an adequate level of protection for personal data by the United Kingdom (this includes countries within the European Economic Area);
one of the derogations in the GDPR applies (including if you explicitly consent to the proposed transfer); or
we have put in place a contract with the recipient of the personal data, which means that the recipient must protect the personal data to the same standards as required within the UK and we have conducted a risk assessment as to whether the contract provides enough protection within the recipient's local legal framework, and where we consider that additional protections are required, we ensure that the recipient of the personal data takes such steps as we require to ensure that the personal data is adequately protected.
If our business is sold or integrated with another business your information may be disclosed to our advisers and any prospective purchasers' advisers and will be passed on to the new owners of the business.
We may provide aggregate statistics about you and our other customers, bookings, data patterns and related site information to reputable third-party vendors, but these statistics will be entirely anonymous and not include any of your Information.
By using this website, you consent to the information being passed on to those organisations.
3rd Party Payments
When you make a payment by Paypal, Apple Pay or similar payment solution, by clicking on the proceed to payment button, you understand and agree that: (i) you will be leaving the Canvas Holidays website and will be transferring to their payment platform, (ii) any your information you enter shall be subject to their own privacy policy, (iii) your information may be processed and stored outside of the European Union and (iv) they shall be responsible for all processing of your information.
My Canvas
When you book a holiday, you will automatically be registered to the My Canvas service. As part of this process, we need your name, e-mail address and we may ask you for other information such as your date of birth, for example to update your personal details or to make further purchases online. Your name and booking reference are required to securely log in to My Canvas
We also use this information to allow us, our agents and sub-contractors who are working on our behalf to provide you with this service including facilitating your use of our My Canvas service. This information is also used to identify you when you visit our websites including to assist with logging in to your account, and to verify that applicable insurance cover has been purchased in the event of a claim.
You can also create an account on our website using your Facebook, Google or Apple credentials. The personal data that you provide to us (which is normally your name and email address) will not be used by us for any purposes other than ensuring you can use the social login function on our website.
Links to External Websites
Our websites may link to a number of external websites, for example Facebook. If you click on one of these links you acknowledge that your access of such websites will be subject to that website's own terms and conditions and Privacy Policy.
Canvas Holidays has no control over how your information is used by these websites, where it is stored and, as such, any course of action you have regarding any alleged misuse of such information must be against the owners of the relevant website. You acknowledge that the same information may be provided by you to both that website and Canvas Holidays but only when specifically provided to Canvas Holidays is it subject to this Privacy Policy. Behavioural Advertising
We believe that advertising is considerably more interesting when it is relevant to you. Therefore, we may customise the advertisements that you see based upon:
the Information you voluntarily provide to us;
geographic location information (where you have consented for us to do so), which we may determine through your IP address, from your mobile device, or other ways;
information we receive from third parties; or
your visits to our websites or your use of our services (commonly referred to as "Behavioural Advertising").

SOCIAL MEDIA COOKIES
